We were engaged by DeLaval when they had noted a long-term need for a structured approach to knowledge assurance, sharing and dissemination.
There was a risk that business-critical knowledge and skills would be lost when the experienced co-workers (product managers) retired. Moreover, these roles were to be transferred from Sweden to, among other places, Poland and the USA.
The project in question had identified a strong need for knowledge transfer from experienced co-workers located in Sweden to successors in the other countries.
The project resulted in a structured transfer that was appreciated by both co-workers and managers.
For example, we carried out the following:
- ideas for product development were addressed
- critical knowledge was mapped
- solution paths were identified
- approaches to solving complex problems were mapped
- saved materials were identified
- valuable older documentation was made visible
- improvements relating to processes were identified and highlighted
- organisational deficiencies were identified to then be corrected
- lessons learned from the project were also shared with other parts of the company

Panagora Room AB has engaged Competensium on a regular basis regarding improvement work, knowledge assurance (offboarding), roles, teamwork and work concerning key values.
Since the company is growing rapidly, Panagora has faced many different challenges. Panagora has made efforts to deal with these challenges at an early stage. As they encountered and addressed them along the way the company has also turned to Competensium for help in taking advantage of what is has been good and improving that which needed attention. Involving Panagora’s dedicated co-workers has been central in this process and has contributed to the successful implementation of these improvements taking place at a rapid pace.
Together, we have implemented an improvement forum that has led to:
- standardised working procedures such as templates and procedure descriptions (avoid reinventing the wheel).
- removal of any elements that proved to be superfluous (old practices that are no longer needed but retained on habitual grounds)
- improved teamwork and communication within and between departments
- refined roles and related working practices
- analysis and solution of complex problems
- the foundation has been laid for what’s new to come into the company and function in the best way
- increased understanding of the various parts of the process and how their part is connected within the big picture
- the development of a set of values nd principles to strengthen the corporate culture
Panagora’s and Competensium’s cooperation has led to savings, reduced absenteeism, enabled the company to grow rapidly and to a favourable corporate culture.
KNOWLEDGE ASSURANCE IN CONJUNCTION WITH RETIREMENT (OFFBOARDING) AND IMPROVEMENT OF THE TRAINING PROCESS (ONBOARDING)
The Education Administration of the City of Stockholm was facing a change, which meant that a very experienced co-worker with unique knowledge in their area was soon to retire.
Consequently, thorough and detailed knowledge assurance was required. In this case there was no specific successor, so it was especially important that clear documentation and regular meetings with the management took place. A large part of the co-worker’s skills had become second nature and the co-worker was able to make swift credible decisions based on their long experience and "gut instinct".
The project resulted among other things in:
- extensive documentation concerning detailed critical knowledge of on-going projects
- improved ways to analyse and use existing data
- FAQ linked network
- possible procedures for dealing with difficult elements
- discovered improvement opportunities concerning existing processes, opportunities to reduce extensive rework by involving the right resources, and acquiring essential information at an earlier stage
- identification of bottlenecks in the process
- problem descriptions for deeper analysis
- identification of improvement opportunities regarding the training process
